Automate creator gifting orders, from the approved list to the cost per campaign
Updated · By Ecomsellertool editorial team
To automate creator gifting, keep one approved list per campaign, and let a person approve each send. The workflow then creates a $0 Shopify order with a gifting tag and a campaign code, so stock and cost per item are still recorded but sales reports leave it out. The 3PL ships it, the creator gets tracking and a disclosure reminder, and costs roll up per campaign.
- Shopify draft orders can carry a custom amount off discount on the whole order or on single line items (checked November 1, 2026).
- When payment for a Shopify draft order is accepted, or the order is marked as paid, an order is created on the Orders page.
- Shopify records cost per item on an order when the order is created, and products with a cost per item are included in its profit reports.
- Shopify order tags are limited to 55 characters each, and orders can be filtered by tag.
- The FTC tells influencers to disclose free or discounted products from a brand, and to place the disclosure with the endorsement itself.
The step map: who runs each step
Trigger: A creator is approved for a campaign, from a creator request form, a spreadsheet or the approved list in your creator tool.
| Step | What happens | Who runs it |
|---|---|---|
| 1 | Each request or list row becomes one gifting record: the creator, the shipping address, the campaign code, the products and sizes, and who asked for it. | Rule |
| 2 | Rules check the record before anyone approves it: no earlier send to the same creator or address in the campaign, the products are in stock, the address is complete, and the campaign is still inside its unit budget. | Rule |
| 3 | A person approves or declines each send, and can swap a product or size. Nothing ships without that approval. | Person |
| 4 | The approved send becomes a Shopify draft order with a full discount, the gifting tag, the campaign code and the creator's name, completed as a $0 order so stock moves and cost per item is recorded. | Rule |
| 5 | The order goes to the 3PL like any other order. When tracking comes back, the creator gets one message with the tracking link, what was sent and a plain reminder that a post about the product needs a clear disclosure. | Rule |
| 6 | After delivery, the workflow waits the agreed time, asks for the post link, and records it on the gifting record. An AI model can read a post caption and flag one with no clear disclosure word for a person to follow up. | AI model |
| 7 | Each week, gifted units and their cost per item roll up by campaign, product and creator, next to posts received, and go to the marketing and finance owners. | Rule |
5 rule steps · 1 AI model step · 1 person step. A rule follows fixed logic you approve; an AI model handles messy input and its output is checked by rules; a person makes the calls listed below.
What stays with a person
- Approving or declining every send, and any product or size change
- Following up with a creator whose post has no clear disclosure
- Any send over the campaign's unit or cost budget
- Paid deals, contracts and usage rights, which this workflow does not handle
- The disclosure wording in creator messages, checked with your counsel
Which tools can run it
- Shopify Flow plus a form and a spreadsheet, for a few sends a month from one store
- Zapier, Make or n8n with a Shopify connection and an AI model step to read captions
- Custom code on your accounts, for many campaigns, several stores or channels, and a cost report finance can rely on
Systems it connects
- Shopify
- Creator request form or creator tool
- 3PL or warehouse system
- Email or DM tool for creator messages
- Spreadsheet or data warehouse for the campaign report
- Slack or email for the approval queue

Creating a $0 order is easy; the work is the duplicate checks, keeping gifted orders out of revenue everywhere, and a cost report per campaign.
A creator asks for a product in a DM. Someone on the marketing team says yes, packs it from the office shelf or keys a manual order, and pastes a tracking number back into the chat a few days later. Three months on, nobody can say how many units went to creators, what they cost, which campaign they belonged to, or whether the same creator got two packages. This recipe turns product seeding into one tracked process: an approved list, a $0 order for each send, the normal 3PL flow, tracking and a disclosure reminder for the creator, and a cost report per campaign. It is one page of our automation library.
Where do creator gifting orders usually go wrong?
Build this table first, with your own campaigns in mind. Each row is a problem we see when gifting runs on DMs and spreadsheets, what it costs you, and the automated check that prevents it. The checks are simple rules; none of them needs an AI model.
| What goes wrong | What it costs you | The automated check |
|---|---|---|
| Gifted orders counted as sales orders | Order count, customer count and average order value look wrong in every report | Every gifted order carries a gifting tag; the sales report filters it out and a daily check flags any $0 order without the tag |
| Units sent from the office shelf with no order | Stock in Shopify is higher than stock on hand, so you oversell later | Only an approved gifting record can release product; the weekly check compares gifted units in the report with units shipped by the 3PL |
| No cost per campaign | Nobody knows what a campaign really cost in product | Every order carries a campaign code; products without a cost per item are blocked before the order is created |
| The same creator gets two packages | Product and postage wasted, and an awkward message | Match each new request on handle, email and shipping address against earlier sends before approval |
| Address incomplete or out of date | Returned parcel, or a lost one | The address is checked before approval, the same way as in our address validation before shipping recipe |
| No disclosure reminder | A post with no clear disclosure, and no record that you asked | The tracking message always includes the reminder, and the send date of that message is kept on the record |
| Nobody asks for the post | You cannot tell which sends led to content | A follow-up goes out a set number of days after delivery, and the post link is recorded on the gifting record |
The first two rows do the most damage because they are silent. A $0 order that slips into the sales report does not raise an alarm; it just makes conversion and order value look a little worse every month.
What does the step map look like from request to post?
The steps above run in a fixed order: request, rule checks, a person's approval, the $0 order, the 3PL, tracking with the reminder, the post follow-up, and the weekly cost roll-up. Only one step uses an AI model, and only to read captions. Everything that spends product or speaks for the brand in a new way comes back to a person.
For example, a brand seeding 40 creators for a launch would run 40 gifting records through the same queue. The approver sees each one with the duplicate check and stock check already done and clicks approve or decline. These numbers are illustrative, not client results.
Paid deals are a different process. Fees, contracts, usage rights and content approvals belong in your creator agreements, not in this order workflow. The gifting record can link to a contract, but it does not replace one.
How do you create a $0 gifting order in Shopify?
Use a draft order. Shopify's Creating draft orders page (checked November 1, 2026) says you can add a custom amount off discount to the order or to individual line items, and that order tags are limited to 55 characters per tag, with filters by tag. The workflow adds a discount equal to the order value, a tag such as gifting, a second tag with the campaign code, and the creator's handle in the note.
Shopify's Draft orders and invoices page (checked November 1, 2026) says that payment can be taken by marking the order as paid, and that once a draft order is paid it becomes a regular order on the Orders page. From there the gifted order follows the same path to your 3PL as a customer order, which is why our Shopify orders to 3PL recipe needs no special case for it.
Set cost per item before the first send. Shopify's page on adding cost per item (checked November 1, 2026) says the cost is recorded on an order when the order is created, that a later change is not applied to earlier orders, and that products with a cost per item are included in profit reports. So a $0 gifted order still carries the product cost, which is exactly what the campaign report needs.
Some brands use a separate sales channel or a dedicated "gifting" customer instead of tags. That works too. What matters is one marker that every report can filter on, and a check that no gifted order goes out without it.
What does the FTC expect around disclosure?
The FTC's Disclosures 101 for Social Media Influencers (checked November 1, 2026) tells influencers to disclose any financial, employment, personal or family relationship with a brand, and that free or discounted products count. It says the disclosure should be placed with the endorsement itself, that one only on a profile page is likely to be missed, and that plain terms such as "ad" and "sponsored" work, while vague ones such as "spon" or "collab" do not. In videos it should be in the video, not only in the description.
The brand side is in the FTC's Endorsement Guides FAQ (checked November 1, 2026). It says a company giving influencers free products should ask them to disclose it clearly and conspicuously, and that advertisers need reasonable programs to train and monitor the people who promote them. That is why the reminder goes in every tracking message and the post check stays in the workflow. This is a summary for building software, not legal advice; check your creator terms and messages with counsel.
| What the FTC page says | What the workflow does |
|---|---|
| Free or discounted products from a brand are a relationship to disclose | Every tracking message reminds the creator that a post about the product needs a clear disclosure |
| The disclosure belongs with the endorsement, not only on a profile page | The reminder says where the disclosure should go, in plain words your counsel approves |
| Plain terms such as "ad" or "sponsored"; not vague terms such as "spon" or "collab" | The caption check flags posts with no clear term for a person to review |
| Advertisers should train and monitor the people who promote them | Each record keeps the date of the reminder, the post link and any follow-up |
Which tool should run it?
For a handful of sends a month, a form, a spreadsheet and Shopify's own tools are enough: someone creates the draft order by hand with the tag and campaign code. Shopify Flow can help here, because its Order created trigger also fires when a draft order is marked as paid and converted to an order (checked November 1, 2026), and Flow can add order tags. A workflow tool such as Zapier, Make or n8n earns its place once there is an approval queue, duplicate checks and automatic tracking messages. Custom code fits when you seed across several stores or channels, run many campaigns at once, or need a cost report finance can rely on beside the daily sales report. It can run on Ecomsellertool Growth OS next to your order and stock data.
Who builds creator gifting workflows for ecommerce brands?
Ecomsellertool builds workflow automation on your own Shopify, warehouse and messaging accounts. We have built software on Amazon's seller APIs since 2017. For gifting we start with the table above and your campaigns, then connect the approval queue, $0 orders, tracking messages and the cost report, with every send approved by your team. Send a project brief or read how our workflow automation service works.
The closest work we have shipped:
- Costs inside the numbers. For Lavley, a gift-giving brand, we built a sales analytics and goal-setting suite on Amazon data that brings advertising cost into profit and sets goals per brand and product type. A gifting cost report uses the same idea: cost that never shows up as revenue still belongs in the numbers.
- Orders routed by rules. For Ecom Global, a global listing and shipping platform built for 100M+ products, 20+ marketplaces and 13+ carriers, carrier types, rate cards and routing rules live in one place, so orders find the cheapest eligible route. Gifted orders follow the same routing as customer orders.

Frequently asked questions
How do I send free products to influencers through Shopify?
Create a draft order for the creator, add the products, apply a discount that brings the total to zero, add a gifting tag and a campaign code, and complete it as paid. Shopify then creates a normal order, so your 3PL ships it, stock goes down and the cost per item is recorded. Automation does the same steps for every approved creator.
Do gifted influencer orders count as revenue in Shopify?
A $0 order adds no revenue, but it still counts as an order, a customer and units sold in most reports. That makes average order value and conversion numbers look worse. Tag every gifted order and filter that tag out of your sales reports, while keeping the units and cost in a separate gifting report.
Does an influencer need to disclose a free product?
The FTC's guidance for influencers says to disclose when a brand gave you anything of value, including free or discounted products. It says the disclosure should sit with the endorsement itself and use plain words such as ad or sponsored. Brands should check their own creator terms and messages with counsel; this is not legal advice.
How do I track the cost of products gifted to creators?
Give every gifted order a campaign code and make sure every product has a cost per item in Shopify before it ships. Shopify records that cost on the order when it is created. A weekly job can then add up gifted units and cost by campaign, product and creator, and set them next to the posts you received.
How do I stop sending the same creator two gifts?
Check every new request against earlier gifting records by creator handle, email and shipping address before a person approves it. Matching on the address catches the same creator under two handles. A repeat send can still be approved on purpose, but the approver sees the earlier order first.
Can Shopify Flow automate influencer gifting?
Partly. Shopify Flow's Order created trigger also fires when a draft order is marked as paid and converted to an order, and Flow has an Add order tags action, so it can tag and pass on a gifted order. The approval queue, duplicate checks across campaigns, creator messages and the cost report usually need a workflow tool or custom code beside Flow.
