Workflow automation

Workflow automation and operations support for ecommerce brands

Updated · By Ecomsellertool editorial team

Short answer

Ecomsellertool automates the manual work that slows ecommerce brands down: orders keyed into a 3PL portal, stock copied between channels, reports rebuilt in spreadsheets and tickets sorted by hand. Send us one workflow and a person replies within 2 business days with a written plan: what to automate, which tool fits, what stays with your team, the timeline and a fixed price.

  • We have built software on Amazon's seller APIs since 2017 and shipped 50+ tools for 100+ teams, with integrations for 20+ marketplaces.
  • Every project starts with a written plan: the workflow mapped step by step, the tool for each step, what stays with a person, the timeline and a fixed price.
  • We use your platform's own automation first, then a workflow tool such as Zapier, Make or n8n, and custom code or an AI model only where those stop.
  • For a 3PL and prep center we connected Amazon, Shopify and ShipStation in one warehouse system, including Amazon's inbound shipment flow.
  • You keep your accounts, your data and the custom code we build; the Growth OS base is licensed to you.

Most ecommerce brands do not need more software. They need the hours back that go into moving data between the software they already have: orders keyed into a 3PL portal and tracking pasted back, stock counts copied from one channel to the next, a payout report rebuilt in a spreadsheet every week, support emails sorted by hand. We map that work, automate the parts that follow rules, and leave the judgment calls with your team. If you already know the job you want gone, send us the workflow and you get a written plan within 2 business days.

What can an ecommerce brand automate?

Start with work that repeats every day, follows the same steps, and costs real time or real mistakes when someone is out. The table lists the workflows we are asked about most, what triggers each one, what can run on its own, and the checkpoint we keep with a person. That last column is the difference between automation you can trust and automation you end up switching off.

WorkflowUsually triggered byWhat runs automaticallyWhat stays with a person
Order routing to a 3PLA new order on any channelOrder sent to the right warehouse, tracking written back to the channelOrders the rules cannot place, such as split shipments or address problems
Stock sync across channelsA sale, a receipt or a stock countOne shared quantity published to every channel, with a buffer per channelChanging the buffers and the channels a SKU sells on
Low-stock alerts and purchase ordersDays of cover falling below a set levelThe alert, the reorder quantity and a draft purchase orderApproving and sending the purchase order
Returns triageA return request or a received returnReason codes grouped, restockable units put back into stockRefunds above your limit and disputed returns
Settlement and payout reconciliationA marketplace payout or a 3PL invoiceFees, refunds and charges matched line by line, gaps flaggedRaising a claim or a dispute
Support-ticket triageA new email or chatTicket tagged, order details attached, routine answers draftedSending replies and handling complaints
Daily performance reportA fixed time each morningSales, margin, stock and ad numbers per channel in one messageDeciding what to change
B2B and wholesale order entryAn email, a PDF or a spreadsheet from a buyerOrder lines read, matched to SKUs and entered as a draftConfirming prices and anything the matcher was unsure of

Each row can be built small and grown later. A stock sync that starts with two channels takes the same shape with five. Our guide to automating Amazon operations goes task by task for marketplace sellers, and the operations gaps section covers the costliest leaks, such as order routing and 3PL invoice reconciliation, in depth.

Which tool should run each workflow?

The cheapest tool that does the job reliably is the right one, so every plan works through the same four levels and stops at the first one that fits. Plan details below were checked on October 2, 2026. Brands often come to us after a workflow tool has grown into a tangle of steps nobody can debug, or after a custom build replaced something their platform already did for free.

LevelUse it whenWatch out for
Your platform's own automation, such as Shopify Flow (a free app on the Basic, Grow, Advanced and Plus plans) or Amazon's Automate Pricing (included in the Professional selling plan)The whole job happens inside one platformRules that need data from another system
A workflow tool (Zapier, Make, n8n)The job spans a few apps and the logic is simpleUsage pricing at high volume (Zapier counts tasks, Make counts credits per module action, n8n Cloud counts workflow executions), and failures nobody sees
Custom code on your accountsHigh volume, many exceptions, or several systems that must agreeBuild cost; worth it only when the first two levels cannot cope
An AI model inside the workflowA step needs judgment on messy input: an emailed order, a ticket, a forecastMistakes on unusual input; always paired with rules and a review step

When a plan uses custom code, it can run on Ecomsellertool Growth OS, our base system for listings, stock, orders, warehousing, advertising and reporting, so a single workflow does not need its own servers. When an agent is the right answer, the AI agents pages explain which steps are rules and which use a model.

How does an automation project work?

Every project follows the same six steps, whether it is one workflow or twenty.

  1. Brief. You describe the workflow in your own words: what happens today, who does it, how often, and which systems are involved.
  2. Written plan, within 2 business days. A person on our team maps each step, names the tool for it, marks what stays with your team, and gives the timeline and a fixed price.
  3. Build in stages. The first workflow goes live before the next one is built, so you see results early and can change course.
  4. Test on your real data. New automations often run beside the manual process for a short time, and the manual steps are switched off only when the numbers match.
  5. Go live and hand over. You get the logs, the settings and a plain-language description of what runs when.
  6. Keep it running. We fix what breaks when a marketplace or app changes its API, or you take it from there.

What does operations support include?

Some brands want the work handled, not only automated. Operations support is a monthly arrangement in which our team runs the agreed routine tasks, watches the automations behind them and fixes what breaks, while your team keeps the decisions. It suits brands that have outgrown doing everything themselves but are not ready to hire a full operations team. To compare that with hiring, see growth partner vs in-house team, and to put a number on what your current process costs, try the operations cost calculator.

Who helps ecommerce brands automate operations?

Ecomsellertool is a tech agency that grows ecommerce brands by closing the operations gaps that leak revenue, with custom tech, so they scale with fewer people. We have built on Amazon's seller APIs since 2017 and shipped 50+ tools for 100+ teams. We automate workflows on your own accounts and systems, and you keep your accounts, your data and the custom code we build; the Growth OS base is licensed to you.

Some of the automation work behind that:

  • A warehouse system for a 3PL and prep center. For Pacific Prep we connected Amazon, Shopify, ScanPower and ShipStation in one system, including Amazon's inbound shipment flow; see our ShipStation integration.
  • Next-step alerts that replaced manual follow-ups. EzBookPrep tracks every book from purchase to listing and tells the team the next action on each one.
  • Rule-based automation we built for advertising. TRAKTOR adjusts campaign budgets from predefined rules and live data.
  • Account alerts. AccountDr notifies sellers about listing faults, stranded inventory, hijackers and changes to their ASINs.
  • Routing at scale. Ecom Global was built for 100M+ products, 20+ marketplaces and 13+ carriers.

Not sure which workflow to start with? The free 24-hour diagnostic finds the operations gaps in an Amazon account, and our services page lists everything else we build.

Frequently asked questions

What kinds of workflows do you automate?

The repeated, rule-shaped work around orders, stock, catalog, finance, support and reporting. Typical first projects are order routing to a 3PL with tracking written back, stock sync across channels, low-stock alerts with draft purchase orders, settlement and payout reconciliation, support-ticket triage and a daily report that replaces a spreadsheet. If a person copies data from one screen to another more than a few times a day, it is usually a candidate.

Do you only work with Amazon sellers?

No. We work with ecommerce brands on Shopify and other storefronts, on marketplaces such as Amazon, Walmart and TikTok Shop, and with wholesale and B2B order flows. Most of our history is with marketplace sellers, so we know their APIs and rules well, but a workflow that never touches a marketplace is just as welcome.

Which automation tools do you use?

Whatever fits the workflow, in this order: the automation your platform already includes, then a workflow tool such as Zapier, Make or n8n when the job spans a few apps with simple logic, then custom code when volume, exceptions or the number of systems outgrow those tools. AI models are used only for steps that need judgment on messy input, such as reading an email order or sorting a ticket, and always inside rules you approve.

How is an automation project priced?

Each project gets a fixed price in the written plan, before any work starts. The price depends on how many systems have to connect, the volume, and how many exceptions the workflow has. Subscriptions for tools such as Zapier, Make or your 3PL's software are separate and are paid by you directly to those providers.

How long does a project take?

The written plan states the timeline and the go-live date. Larger jobs are split into stages so the first workflow goes live, and starts saving time, before the rest is built. Every stage is tested on your real data, often running beside the manual process for a short period, before the manual steps are switched off.

What does operations support include?

Operations support is a monthly arrangement for brands that want routine work handled, not only automated. Our team runs the agreed day-to-day tasks and keeps the automations behind them healthy, while your team keeps the decisions. Purchase orders, refunds above your limits, appeals and replies to customers come back to a person on your side, with the evidence attached.

Can automation put my marketplace account at risk?

Automation as such is not the risk; careless automation is. We connect through each marketplace's official APIs on your own accounts, never with a shared password, log every automated change, and design agents to follow Amazon's Agent Policy. Anything a marketplace's rules reserve for a person stays with a person.
